Data Capture


Note: Which contracts are you currently at? must be populated before performing any action.

Main page

  • Create New Form - to add a new record/ asset.

  • Go to My form - if you have an existing form that created earlier.

  • Replace existing asset - replace existing assets in RAMM this function available for all assets except surfacing and pavement.

  • Clear All Draft Forms - will clear all forms saved locally on your device.

  • Get Form From Server - to get all forms saved to the server like shared, imported form, in progress, ready for ramm, exported unless these records have been cleaned up by the server.

Every form created locally will be saved on your device, if you saved or submit the form will be saved in the server, to get this form back from the server click Get Forms From Server, unless those are really old forms and have been cleaned up by the server.

Note: Clear All Draft Forms will clear all local forms regardless which assets is selected


Create new form

Select a contract in Which contract are you currently at?

Select an asset type in Which asset are you working on?

Select Create new form in What do you want to do?

Click Create.

It will take you to a page to fill in the data. You can navigate the form either:

  • Option 1 - Click the Tabs on the left

  • Option 2 - Click the Next or Previous button.

Using the map on Location tab:

  • Toggle Map - click to show/hide the map

  • GPS - To use the GPS to locate where you are

  • Centre makers - to drag the marker where you are on the map

Once you define the start and end markers (for linear asset, point asset only has 1 marker) on the map, this should populate the location information. You can also manually type in the location information.

After populating the location tab fields, user must populate/make change to at least one field not in the location tab to save the changes in user device.

As you populate the data in each tap, it will change colour from red to blue, which means all fields in this tab has been correctly populated.

Red - it's a mandatory fields if incorrect data entered.

Orange - it's a warning check this data before continuing.

Blue - is a field explanation note.

After filling in the data, select Form Status dropdown and click Finish to submit/save to server.

Form Status

  • In Progress with or without validation errors can submit/save to server.
  • Ready for RAMM with validation errors cannot submit/save to server.


Tabs

All forms will start with Location tab, Metric is asset specific information, Dimension & Life tab, Condition & Audit.

Existing asset replacement - all fields are grayed out and automatically set by the replace function in the Asset Store.

Note: This statement does not apply to surfacing and pavement since their replace is different.


Location information reminder

When the form is In Progress stage, if you are populating this data out on the field we just reminding user if the basic information which is the location information has been populated or not.


Submit error

When set to Ready for RAMM and submit the form that still has some missing information, then an error will popup.

There's also error when submitting form when there's already a form in the server with all values in duplicate fields matched.


Go To My form

Select a contract in Which contract are you currently at?

Select an asset type in Which asset are you working on?

Click Get Forms From Server.

Select Go to my form in What do you want to do?

Click Show forms.

It will take you to a page with a table of forms. To filter form status, select the dropdown in Status column.

Status

  • Ready for RAMM - all validation completed

  • In Progress - forms status selected to in progress

  • Incompleted - start a form but didn’t get to the form status

  • Imported - if you bulk import a form from a spreadsheet

  • Exported - form has been emailed out


Open form I work on

Click the blue text in the Form Name column to open that form.

e.g. Image below show form Surfacing-016-0000-B-9-99, to open this form click the blue text in the Form Name column.


Send forms to me

Select the checkbox (left of Contract column) of the forms you want to send to you, then click Send. Only form with status Ready for RAMM or Exported can be send to you.

You will receive email notification from MyRoad noreply@mobileroad.org including a spreadsheet of the data recorded.

The form Status will then change to Exported.

Note: Only Ready for RAMM and Exported can be send. In Progress, incomplete, imported can't be send

If the form has been shared with you, or you have used another device to collect data, then you need to retrieve form from server by clicking Get Forms from Server.


Share forms to other users

Select the checkbox (left of Contract column) of the forms you want to send to you, then click Share.

A box will pop up and ask to enter the email of the user you want to share with. Separate the emails with comma , for sharing with multiple users. Enter email in all lowercase.

Share button also available on the form itself. So you can share individual form this way.

Can share any form in any status other than Incomplete. If you want to share Incomplete form, then go set the form status to In progress and click Share.

Note: If you are the shared user, then click Get Forms From Server to get the forms and remember to select the asset first.
